Our organization convenes on a monthly basis to conduct official business, review ongoing initiatives, and address matters requiring collective discussion or decision-making. To ensure accuracy and transparency, detailed meeting notes are recorded during each session and are formally reviewed and approved at the subsequent month’s meeting. This approval process allows members to confirm that the record accurately reflects discussions, actions, and decisions before any documentation is finalized.
In keeping with established governance standards, official meeting minutes are published only when a quorum is present. This requirement ensures that the proceedings represent the participation and input of a sufficient number of members to conduct valid organizational business. When quorum is not achieved, discussions may still occur, but the outcomes are not recorded or distributed as official minutes. This practice maintains the integrity of our decision-making process and ensures that published records reflect properly constituted meetings.
